Winter in Poland is a off-season time of the year, which is why you have comfort and flexibility when choosing wedding date. There is also a better wedding venue availability because they are not as crowded as in spring or summer. The lower price of services is also easier to negotiate - starting from the restaurant, through photographer and cameraman, and ending with the band. If you're just starting to envision your wedding in Poland and wondering about all the things you'll need to do—and when—then you're in the right place.  

At Winsa - Wedding Planners, we create preparation schedules for our wedding couples all the time. Today I would also like to present to you my general proposal for a chronological summary of the most important planning elements in the form of a wedding calendar. You should remember about all the following (but not only) things to prepare your perfect wedding day without tension. Individual items in the calendar schedule can be slightly shifted in time adjusting them to your needs. Wedding in Poland - The 12-Month Wedding Planning Timeline

10 - 12 months before the wedding:

  • Prepare more or less number of wedding guests. 
  • Determine wedding budget 
  • Hire Wedding Planner - if, of course if this is taken into account 
  • Draw up the concept and scenario of the ceremony and make decisions about color characteristics. 
  • Book a wedding venue in Poland suited to the style of celebration and the number of guests. 
  • Reserve the time and date of the ceremony at the Church or Registry Office. 
  • Choose and book a band or DJ. 
  • Choose and book a wedding photographer and video filming services.
6- 9 months before the wedding:

  • Share responsibilities, i.e. who, where, when and what to do. 
  • Choose and buy a wedding dress for the Bride and a suit for the Groom. 
  • Sign up for premarital counseling. 
  • Book a destination for a honeymoon 
  • Appoint bridesmaid and best man 
  • Create a list of wedding presents 
  • Order wedding rings 
  • Book transportation for the Newlyweds 
  • Book: make-up artist, hairdresser and floristics. 
  • Keep fit and healthy.
3- 5 months before the wedding:

  • Order wedding invitations and define their content. 
  • Address the invitations and invite guests to the wedding.
  • Purchase wedding styling accessories: veil, shoes, jewelry, underwear etc. 
  • Provide the necessary documents needed to get married to the appropriate institution. 
  • Set up a Bachelorette Party and a Stag Night and their attractions. 
  • Sign a prenup in front of the notary, if prenup is anticipated 
  • Book accommodation for wedding guests 
  • Choose wedding menu, type of cake and drinks and choose a wedding cake. 
  • Plan and book transportation for guests. 
  • Inform the employer about the wedding and apply for the annual leave. 
  • Decide on the selection of additional attractions if they are planned. 
  • Collect wedding rings. 
  • Start a dance course.

1 - 2 months before the wedding:
  • Choose decorations, wedding bouquets, flowers for the church, the wedding hall, flowers for the car. 
  • Plan your music repertoire. 
  • Make an appointment for fitting a wedding dress and suit and their tailor-made corrections. 
  • Buy gifts as thanks to the Parents. 
  • Carefully plan the course of the wedding day celebrations. 
  • Plan the placement of guests at the tables. 
  • Arrange child care services and activities, if necessary. 
  • Make an appointment for a test hairstyle and make-up. 
  • Order vignettes for tables, print the menu. 
  • Hire a wedding day coordinator if a wedding planner wasn’t already hired. 
  • Confirm all wedding reservations and services. 
  • Attend the first pre-wedding confession (concordat or church wedding).

1 - 2 weeks before the wedding:

  • Verify the final number of wedding guests. 
  • Arrange the ceremony with the priest or Civil Registry Office official. 
  • Organize a Bachelorette Party and a Stag Party. 
  • Prepare the necessary location maps for guests. 
  • Gather all the necessary wedding decorations and accessories in one place.

One day before wedding:

  • Prepare all necessary documents 
  • Pick up flowers from the florists 
  • Pack the beautician. 
  • Attend the second pre-wedding confession.
Wedding day:

  • Get enough sleep and relax. 
  • Visit a hairdresser and do make-up. 
  • Welcome guests and have fun!

After wedding:
  • Send thanks to the wedding Guests. 
  • Organize an outdoor photo session. 
  • Return wedding outfits to the laundry or rental company. 
  • Provide information on the change of name to the appropriate authorities. 
  • Pack up for your honeymoon and live happily ever after.

Outdoor wedding in Krakow - the basic information


Outdoor weddings in Poland are becoming more and more popular  every year. An undoubted advantage of outdoor wedding is the fact that you do not have to comply with the long terms of the wedding ballrooms and you can organize a wedding without waiting for a free date. If you have a large, beautiful garden or other green area (as a rented venue), where you can pitch a tent, an outdoor wedding in Krakow is a great idea.



When organizing a wedding in the open air, you need to think about choosing a place that should be nice and spacious. The size of the area should depend on the number of invited guests and the size of the tent. You must reserve space for the dance floor and prepare the stage for the band. One of the most important issues is the sanitary service of the party, when organizing a wedding you have to remember about electricity, water and toilets for guests. 


However, the most important aspect of organizing an outdoor wedding in Krakow is cooperation with experienced subcontractors such as a tent company (the tent should be solid and protecting against any weather changes), catering company (appropriate menu, trained staff and catering equipment), a company renting banquet furniture (chairs, tables, tablecloths etc.), a company from the sound and lighting of the tent, and a floristic studio that can work in an open space with many dimensions.


When to organize a wedding in Krakow in the open air?


For a wedding in the garden to be really successful, it should be the right weather. The perfect time to organize a party will be late spring and summer. In May, the weather can be capricious and often the nights are still cold. In June the nights are warmer and it rains less often. July is a warm month and nice for wedding under tent. The prettiest weather is usually in August, but the evenings can be cool.

Outdoor fun


There is no real wedding without dances. Therefore, you can not forget about the special wooden dance floor. Depending on the season, a partial roofing will be a good idea. Also, don't forget about the platform for the band. There is nothing more beautiful than dancing under the open sky in the candlelight and garlands and sounds of live music.

A relaxation and rest area is always a great idea. Wedding reception for some guests can be a very tactile and a special place full of soft chairs and large pillows will definitely gain recognition among guests. It is an ideal place where guests will be able to calmly talk and stretch their legs.

A wedding in Krakow under a tent is a very time-consuming organizational process, but in my opinion the beautiful final effect and delight of guests playing at such a wedding is absolutely worth every hour of work. I know this well because I organize such weddings in a tent every year. Scenography, atmosphere, light, sound, flowers .... something wonderful!

Pantone Color of the Year 2020 has been announced! And this year it has gone for a traditional shade: Classic Blue. A shade reminiscent of "the sky at dusk." Colour theory suggests blues like this particular shade are restful, stable, relatable, honest and universally beloved. 


It's certainly a bit of a departure from recent Colours of the Year. In the past few years Pantone has opted for more invigorating choices as 2019 Living Coral and 2018 Ultra Violet. Since the start of the tradition more than 20 years ago, the Color of the Year has influenced the fashion, interior design and weddings, among others. I think that it will greatly influence next year's trends too.

Do you agree that it instills "calm confidence and connection" or does Classic Blue feel like a dull choice? How do you like this color? In my opinion it is beautiful and timeless. I will add that blue is my favorite color and even the logo of my Winsa Wedding Planners Agency is in this color. I can not wait to see how wonderful weddings in Poland will be in 2020.
